Who we are

Donegal Badminton Branch ("we", "us") is the data controller for the personal data described here and is responsible for how it is used. The platform is provided by Highview, an independent software provider acting as our data processor — it operates the system on our instructions and does not use your data for its own purposes. What we collect

• Identity & contact: name, date of birth, gender, email, phone.
• Membership & play: Badminton Ireland membership number, grades, attendance, match and tournament records.
• For under-18s: parent/guardian details and the consents recorded at registration.
• Safeguarding & vetting status where applicable (handled under strict access controls).

Why we use it & our lawful basis

• Legitimate interests — running club sessions, leagues, cups, grading and communications.
• Consent — for processing a child's data, obtained from a parent/guardian at registration.
• Legal obligation — safeguarding (Children First) and financial record-keeping.

Who can see it

Your data is visible only to the administrators of your own club and branch. Each club is isolated — one club's administrators cannot see another club's members. We do not share your data with any third party (including Badminton Ireland), and we do not sell it or use it for marketing.

This platform is currently an internal trial run by the branch. If that ever changes — for example, integrating with Badminton Ireland membership — this notice will be updated and you will be informed first.

Cookies

We use only strictly necessary cookies — a single session cookie that keeps you signed in and protects forms against cross-site request forgery. It's essential for the site to work, so it doesn't require consent, and it's removed when you log out.

We do not use any analytics, advertising, or third-party tracking cookies. Your display preference (light/dark theme) is stored locally in your browser, not in a cookie, and never leaves your device.

How long we keep it

We keep your personal data while you are an active member. If you become inactive (no renewal or activity), your general personal data is anonymised 24 months after your last activity — match and grade history is retained only in anonymised form for statistics. Some records are kept longer where the law requires:

• Financial records — approximately 6 years (Revenue requirements).
• Safeguarding and accident records — for the period required under Children First / statutory guidance.

Your rights

Under the GDPR you have the right to:

• Access a copy of your data, and have inaccuracies corrected.
• Have your data erased ("right to be forgotten"), subject to the legal retention above.
• Restrict or object to processing, and to data portability.
